INTRODUCTION:

Attendance Management System is software developed for daily student attendance in schools, colleges and institutes. If facilitates to access the attendance information of a particular Employee in a particular industry. The information is sorted by the operators, which will be provided by the employee for a particular working day. This system wills also help in evaluating attendance eligibility criteria of a employee.  The main objective of the proposed system is to decrease the paper work and easier record maintenance by having a particular website for attendance, leaves and notice maintenance.

 

THE MAIN OBJECTIVES:

  1. To computerize the manual system & reduce the time consumption.
  2. To make the attendance system computerized.
  3. To reduce time consumption.
  4. To reduce error scope.
  5. To paper work is reduced as we need not to maintain registers for future references.

 

 

PROBLEM DEFINATION:

As the existing system increases the paper work and record maintenance tedious there is a need of new system which makes the record maintenance easy that is the common requirement the college attendance management system. So the completion of this project can successfully eliminate the existing problems with the present system.

 

 

LITERATURE REVIEW:

Since ages, attendance system has remained one of the most important systems for evaluating the working time of students in any college or school. In short, this is used every where wherever the human labor is of importance in terms of the number of hours labored for, in a wider application example, also to mark the number of days present/absent in any academic year of students in a college, school etc. The data for each student is fetched by either manual system or by electromechanical devices like punch card, time-notation devices etc. In attendance system, which is manual in nature, the lecturer takes the attendance of the students of different departments of the college. The information regarding attendance is then given to the counselor. The counselor then checks for the number of presents, absents and whether he/she has taken the leave for the absent. And finally he/she prepares the attendance report. In attendance system, which is computerized in nature, the lecturer takes the attendance of the students of different departments of the college. The information regarding attendance is then given to the counselor. The counselor then submits the information to the computer programmer and hefeeds the data into the computer and gets the final attendance report.

 

CHAREACTERSTIC OF THE PROPOSED SYSTEM

  • User Friendly:-

The proposed system is user friendly because the retrieval and storing of data is fast and data is

maintained efficiently. Moreover the graphical user interface is provided in the proposed system, which provides user to deal with the system very easily.

  • Reports are easily generated:

Reports can be easily generated in the proposed system so user can generate the report as per the requirement (monthly) or in the middle of the session. User can give the notice to the students so he/she become regular.

  • Very less paper work:

The proposed system requires very less paper work. All the data is feted into the computer

immediately and reports can be generated through computers. Moreover work become very easy because there is no need to keep data on papers.

  • Computer operator control:

Computer operator control will be there so no chance of errors. Moreover storing and

retrieving of information is easy. So work can be done speedily and in time.

The Proposed system has three main modules

  • Staff
  • HOD
  • Principal

 

STAFF MODULE:

  • Recording attendance

Staff records their attendance at the beginning of each day.  Any exceptions (attendance record not present for the previous day) are highlighted when staff logs in on the next day.  Staff can enter a justification for the exception and it is forwarded to supervisor for approval.

  • View Attendance Report

Staff can query on their attendance for a given period.

  • Apply Leave

Staff can send a leave application to the higher authority with a reason for leave and number of days.

 

HOD MODULE:

This module handles the administrative functions of a department.

  • Attendance reports of staff

Can view and generate attendance reports of all staff members for a period of time.

  • Daily Absent Report

HOD can view the total number of absentees of a particular department for a given day.  They can also enquire on the attendance history of an individual staff in a particular month.

  • View leave applications

If any leave applications received from the department staff, HOD is able to accept/reject those applications and can write a remark for that.

 

PRINCIPAL MODULE:    

This module is the higher authority for all

  • Registration:

Principal can register a staff at the time of recruitment and gives username and password generated automatically by the system
